Once again I am hunting for a timeclock, we write 6-8 paychecks a payperiod using Quickbooks Premier & Enhanced Payroll.

I am looking for something which will smooothly send the data to QB.
Also a standalone device which will record punches (rather than one that needs live internet like some).
[Actually prefer one that will keep all data in house rather than store on others' servers.]
Card swipes/keypad punches/biometric all ok (looks faster than logging into a touchscreen)
 
Following... starting to think I need a similar solution.
 
I have RTC1000s. They keep the data on the clock itself. There are options to tie them in with a web application for things like home workers or employees who go out to jobsites but it is not required. You can set up a number of 'slave' clocks that just report to the 'master'. I have never used the export to quickbooks, I know it is available. They come with a pack of RFID cards to swipe in and out. Alternatively the employee can clock in/out with their employee# and a pin.

I'm sure y'all business owners know this, but usually there's business rules around clocking in and out, which as the IT guy who's spec'd a number of punch clock type systems, almost none have the ability to enforce nor send the correct data to accounting software.

Almost always the data doesn't match what the pay hours will be.

Stuff like back when I did call center tech work -- agents were told to punch out no later than five minutes after their shift if they were not authorized to stay late, and authorization to stay late/overtime had to be in writing. That place couldn't tie their punch clock system directly to accounting software if they wanted to.

Anyway I know that's not much help on the original question, but definitely a feature I've found to be very difficult to find in timecard systems. Custom business rules.

We have a number of people utilizing Toggle at the office. It's granted, time tracking only, and not always even changing someone's pay (they might be salaried) but the level of customization for project tracking and other goodies makes for some nice reports.

Easiest system I've used in years for a desktop worker, once set up. Has great integration with a number of other browser-based things via a Chrome plugin, too. I leave a tab on my browser open all day and just flip to it to change projects or tickets or tasks all day, and once set up for projects and things the bosses wanted tracked, it's literally a mouse click to do most functions.

To get the most out of it on a team of employees, you do have to pay them monthly for the users.

Not as convenient as a "swipe" type hardware system for non-desk workers. Definitely not.
 
By the way. Another way I've seen done is through a badge based security system -- some can pull double duty if they can provide accurate badge swipe reports. Can even hang an extra swipe sensor on a wall, not even associated with a door to open. Downside was, we had to write a little app to display whether the user was "in" or "out" to make sure a double swipe didn't create a data problem and hang a monitor near the exit.
 
I do need something which will confine employee's paid hours to a predetermined schedule. Ie, if their schedule is 8-12, 1-5 and they swipe in 10 mins early for two weeks - I am only paying for the scheduled hours. And I don't want to have to manually change that each paycheck.
 
You should look into WhenIWork. They have a punch-in feature that can be done from any smartphone. The app ties a user's GPS position to their punching in so that they can only punch in when at work.
 
The guys at Lathem (who I currently use) did not get back to my RFI. So I called them yesterday and they claim to have one that exactly fits my needs for about $500.

Double check with the Texas Workforce Commission about details on this. IIRC, if you don't have the correct items in place and documentation of the employee agreeing to the policy, you could still be on hook for OT.

Getting square on this now will prevent a disgruntled employee creating a major time foo-fra later.
 
Absolutely Mike. Our employee manual clearly specifies their scheduled hours and that all OT must be approved in advance.
That we have to do this is bizarre; the alternative would be that employees get to tell us when they are going to work & how much OT they get.
That's the Texas Workforce Commission for ya.
 
Yup... inmates running the asylum..
 
We know of a case where they gave benefits to an employee who was let go for stealing money and admitted to it!
